1. Separate cash cost from operating cost
Cloudflare and Google Sheets may reduce server expenses, but someone still maintains templates, permissions, changes, and user support.
2. Free should also mean sustainable
A free system that requires the owner to fix every case manually will not scale. Let each organization control its data and basic configuration.
3. Know dependency limits
Quotas, API calls, processing time, and access permissions are architectural constraints—not details to discover after adoption grows.
4. Reduce support through standards
One template, one guide, one log format, and repeatable deployment steps often reduce support cost more than complex code.
5. State what the system does not own
Be clear about data ownership, backups, permission management, and what users should do when external services fail.
